Who we are

Aarohan is the annual techfest of Shri G. S. Institute of Technology and Science (SGSITS), Indore. This site, aarohansgsits.com, is run by the Aarohan organising team. Questions about your data go to aarohan@sgsits.ac.in.

What we collect

• Account: your email address, and your name and profile picture if you sign in with Google. Passwords are handled by our sign-in provider, never stored by us.
• Profile (asked when you first register for an event): full name, phone number, date of birth, college, branch and year of study.
• Registrations: which events you joined, your team and invite code, whether you are a team leader, and the status and amount of each payment.
• Event-day records: attendance, judging scores for your team and stall allotments, for events that use them. For the cultural night, wristband check-in and check-out times.
• Registrations made elsewhere: for events that register through Google Forms or sgsitsconnect, the organisers import that registrant list, including any extra answers you gave on the form.
• Technical data: basic page-view and performance statistics, and cookies needed to keep you signed in.

Why we use it

• To create your account, register you for events and form teams.
• To take payment and confirm your seat.
• To email you about your registration, schedule changes and announcements for events you joined.
• To run the events: check-in, attendance, judging, results and safety on the day.
• To check eligibility and pricing (for example, students of SGSITS pay a different fee from outside students, and some events have age limits).
• To keep the site working and secure, and to understand how it performs.

Who sees it

Aarohan organisers, volunteers and judges see what they need for their part of the fest. Other participants never see your email, phone or profile. If you are on a team, teammates see your name.

We use these service providers, who process data only to provide their service:

• Clerk: sign-in and account security.
• UPI payments: you pay by UPI to the organisers' account. We store the UTR (payment reference number) you type so organisers can match your payment on the bank statement; we never see your bank or card details.
• Neon: the database where the records above are stored.
• Vercel: hosting, and page-view and performance statistics.
• Resend: sending our emails.

We do not sell your data and we do not show advertising. Sponsors do not get your personal details.

How long we keep it

We keep registration and payment records for as long as needed to run the fest, handle refunds and disputes, and meet accounting requirements. Then we delete or anonymise them. You can ask us to delete your account earlier (see below); we may need to keep payment records we are legally required to keep.

Your choices

You can ask us to show you the data we hold about you, correct it, or delete your account and profile. Email us from the address on your account and we will act on it, usually within a few working days.

Deleting your account removes you from events you have not yet attended. It does not undo a completed payment.

Minors

Some events have age limits. If you are under 18, please register with the knowledge of a parent or guardian.

Changes

If we change this policy in a way that matters, we will update the date at the top of this page.
